New in Clerestory: Auctions, Raffles, Membership Rules and Offer Codes

Clerestory now runs auctions, paddle raises and raffles, flexible membership rules, payment moves between memberships and donations, and event offer codes.

This month Clerestory gained a lot. Auctions and raffles now live in the same account as your memberships, donations, admission and gift shop. Memberships follow the rules you set. A payment that came in through the wrong form can be put right without charging anyone again. And events have offer codes, presales and member pricing that applies itself.

Each has its own walkthrough. Here is the short version.

Auctions: silent, live and paddle raise

Guests bid on silent items from their own phones, with maximum bids, buy-it-now and outbid alerts by email. The auctioneer records live items and paddle-raise levels by bidder number, and a room screen shows the running total, the countdown to each close and a QR code to start bidding. Staff check guests in and take a card at the door. When the night is over, every winner is charged in one batch, and each guest receives one statement that separates fair market value from the tax-deductible portion.

A paddle-raise gift lands in the donor's giving history as a gift, on the same record as their membership and everything else they have ever done with you.

Raffles

Sell tickets online, at a table or at the kiosk, as singles or bundles such as 10 for $40. At the table you can take a card on a reader, type it in, let the buyer pay on their own phone, or record cash and checks. A numbered raffle is drawn inside Clerestory with a cryptographically random pick, every press of the button is recorded, and refunded tickets can never win. Raffle money counts toward what you raised, never toward giving, and it is never receipted as deductible.

Membership rules

Choose whether each member's year starts on the day they join or everyone shares the same dates. Round end dates to the end of the month. Decide what late joiners get: a longer first term or a lower first price. Add a grace period, open renewals only near the end of a term if you prefer, and decide whether members can move up a level mid-term. A live preview shows the dates your rules will produce before you save, and nobody's current dates move.

Move a payment between a membership and a donation

Someone renews through the donation form. Someone else meant to give, not join. Either way, you can now move the payment to where it belongs after the fact. Nobody is charged again, the membership starts, renews or ends as it should, lifetime giving does not change, and the donor automatically receives a corrected receipt that replaces the earlier one.

Event offer codes, presales and member pricing

Create a code for an event that takes a percentage off, an amount off or sets a fixed price, capped by number of orders and valid between the dates you choose. A code can also unlock tickets before general sale, with or without a discount. Members get their member price, free tickets and early access automatically, recognized by their email address, and the event page tells everyone what members pay before they scroll.

What it costs
